Confidentiality, Intellectual Property & Data Security
Protecting Ideas, Innovation, and Integrity — The YOI Way
Confidentiality is the foundation of professionalism at YOI Media.
All employees, interns, and contractors must treat all client, company, and project information as strictly confidential.
Sharing internal data, campaign performance, strategies, or documents outside the organization is strictly prohibited.
Disclosure of any information (verbal, written, or digital) without prior written approval from management will be treated as a major policy violation.
Employees must sign a Non-Disclosure Agreement (NDA) upon joining, covering both active employment and post-employment obligations.
2. Ownership of Work & Intellectual Property
Everything you create at YOI Media helps build our collective vision.
All materials developed during employment — including designs, strategies, code, videos, documents, or digital campaigns — remain the intellectual property of YOI Media LLP.
Employees are not permitted to use, resell, or claim ownership of any work or materials created for YOI or its clients.
Upon termination, employees must return or delete all company data and resources from personal devices or storage.
Re-use of YOI Media’s creative or technological assets for external work or freelancing without permission is strictly forbidden.
3. IT, Internet & System Usage Policy
The company’s IT infrastructure is a strategic asset — use it wisely.
Office systems, software, and internet access are provided solely for official business use.
Unauthorized installation of third-party software, file-sharing apps, or games is not permitted.
Streaming entertainment content, personal cloud storage access, or using unauthorized USB devices is prohibited.
The IT Department reserves the right to monitor digital activity to ensure compliance and data security.
Cyber-security hygiene — regular password updates, device lock screens, and avoiding suspicious links — is mandatory.
4. Password & Data Protection
A password is not just a key — it’s a shield.
Employees must create strong passwords (minimum 8 characters with symbols, numbers, and mixed case letters).
Passwords should never be shared, even with colleagues or team leads.
Use only authorized cloud platforms (Google Workspace, Slack, ClickUp, etc.) for data storage and sharing.
Sensitive information must be encrypted and stored on secure company servers.
Regular backups and security scans are mandatory to prevent accidental data loss.
5. Cybersecurity Breach Consequences
YOI Media takes data breaches and digital misconduct very seriously.
Any intentional or negligent breach — including unauthorized access, data theft, or misuse of confidential files — will lead to immediate termination and potential legal action under IT and privacy laws.
In case of accidental data exposure, employees must report immediately to the IT Head or HR Department within 1 hour.
Cooperation during internal investigation is mandatory.
Breach impact assessments will be conducted, and clients will be informed as per confidentiality agreements.
